What personal data we collect and why we collect it

By default, we do not collect personal data about website visitors. If you are registered with an account on our website we collect the personal data you provide us with and use it within the website. This may include personal data, such as name, email address, personal account preferences; and technical data, such as last login date.

Contact forms

If you submit a contact form we will receive the information you populated on the form via email, e.g. name, email, subject, message.  We do not use the information submitted through contact forms for marketing purposes.

Cookies

This website only uses cookies which are strictly necessary. We use cookies to help our website work, prevent spam and monitor for malicious activity. If you log-in then we save personal preferences in cookies. Cookies are small text files that can be used by websites to make a user’s experience more efficient.

Registered Users – Staff Only (Employees & Volunteers)

If you are registered on the website, we collect and store the data you see on the profile screens for registered users. Registered users can see, and edit, their personal information at any time. Website administrators and line managers can also see and edit that information. All registered users can view a basic company directory for other staff (e.g. Name, Email, Work Phone, Department, Designation, Full/Part-time, Hire Date), also they may see the name of staff who have a birthday coming up in the current week or a holiday booking in the current or next month.

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Analytics

Our website does not collect analytics data.

Our web hosting account collects some anonymous technical data in its logfiles, these include the visitor’s IP address, URL visited, referring URL, date/time, and browser user agent.  Visitors cannot opt out of this tracking. These data are collected routinely to determine website usage statistics, and to help us find and fix errors or broken links on the website.

When you visit the site we may use the visitor’s IP address and browser user agent string to help detection and prevention of spam, and monitor and forbid automated or suspicious behaviour.

Whom we share your personal data with

We do not share any personal data with third-parties other than our website hosting provider who can see the technical and other data in our hosting account which they need to do when providing us with support services. Our website is hosted in the United Kingdom, with UKHost4u.com, and you can view their privacy policy.

How long we retain your data

For users that register on our website the personal information provided in their user profile will be stored indefinitely or until the user or administrator/line manger deletes their profile. How long we keep information you submit via a contact form will be subject to our email retention policy.

What rights you have over your data

If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

We do not transfer any website personal data outside the European Union.
